2. Data we collect
Through the RFQ form: full name, company, country, business email, phone/WhatsApp (optional), and the details of your request (product, specification, quantity, destination, Incoterm, target date, optional link). We ask you not to include other personal data in free-text fields. If you email or call us, we receive the data you choose to send.
3. Purposes
Only to answer your request, prepare a quotation and, if you proceed, take the steps needed to enter into a contract with you. We do not use RFQ data for marketing unless you give separate consent.
4. Legal basis
We process your enquiry data on the basis of your consent (Law 91/2025/QH15, Art. 9). Where you enter into a contract with us, we process the data necessary to perform that contract (Art. 19.1.d).
5. Who receives your data
Our staff handling your request; our service providers for website hosting, form handling and email (Cloudflare, Inc. (website hosting, contact form and spam protection – Cloudflare Pages, Pages Functions and Turnstile; global network, servers outside Vietnam) and Resend (email delivery of form submissions to our company mailbox; servers outside Vietnam, United States)); and suppliers or logistics partners only where needed to prepare your quotation. We do not sell personal data.
6. Transfers outside Vietnam
Your request is processed on servers outside Vietnam: the website and contact form run on Cloudflare's global network, and form submissions are delivered by email through Resend (United States) to our company mailbox tsv@topsourcevietnam.com. Data is transmitted over encrypted HTTPS/TLS connections and is used only for the purposes in this policy. We prepare and keep the cross-border transfer impact assessment where Vietnamese law requires it.
7. How long we keep data
Up to 24 months after our last contact, unless a longer period is required by law or a signed contract.
8. Security
All pages and the contact form are served only over encrypted HTTPS/TLS connections (Cloudflare). Form submissions are not stored in a website database; they are delivered to the company email account tsv@topsourcevietnam.com, and access to that account is limited to authorised company staff.
9. Your rights
Under Article 4 of Law 91/2025/QH15 you have the right to:
- be informed about the processing of your personal data;
- give or refuse consent, and withdraw your consent;
- access and correct your personal data;
- request that we provide your personal data to you;
- request deletion of your personal data;
- request restriction of processing;
- object to processing;
- lodge a complaint or denunciation, bring a lawsuit and claim compensation for damage;
- request the application of measures to protect your personal data.
To exercise these rights, contact tsv@topsourcevietnam.com. Withdrawing consent does not affect processing carried out before withdrawal. We will acknowledge your request within 2 working days and complete it within the time limits set by Decree 356/2025/ND-CP (10–20 days depending on the request).
10. Complaints
You can complain to us via tsv@topsourcevietnam.com or the process on our complaints page, and you may also contact the competent Vietnamese data-protection authority.
11. Cookies and analytics
This website currently does not use analytics, advertising or tracking cookies and loads no third-party scripts, except Cloudflare Turnstile on the contact page, which protects the form against spam and is loaded only on that page.
12. Changes to this policy
We will publish any update on this page with a new effective date.
